📣 VIETNAM AGARWOOD ASSOCIATION RECRUITMENT ANNOUNCEMENT
VAWA - This is the general position, directly supporting the President, Vice Presidents, and Head of the Office in organizing, coordinating, and implementing the regular activities of the Vietnam Agarwood Association.

Position: General Specialist cum Office Assistant, Communications and Website Administrator
Quantity: 01 person
Salary: 10,000,000 VND/month
Location: No. 31, Street 4, CityLand Park Hills Urban Area, Go Vap Ward, HCMC.
Application period: From August 3, 2026 to the end of August 10, 2026.
Candidates are required to have systematic thinking, proactiveness, and flexibility; readiness to work at the office and frequently go on business trips to garden farms, production facilities, enterprises, localities, and related agencies.
I. OFFICE OPERATIONS AND CLEANING
Directly perform daily cleaning tasks for the entire office.
Wipe and clean desks and chairs, floors, reception areas, meeting rooms, working areas, and common spaces.
Arrange tables, chairs, documents, equipment, and supplies in their proper places, ensuring the office is always clean, neat, and professional.
Prepare meeting rooms, drinking water, documents, and necessary conditions before leadership receives guests or organizes meetings.
Monitor the demand for stationery, supplies, and equipment; proactively propose, find suppliers, and make purchases after approval.
Manage, inventory, and preserve office assets and equipment.
Promptly report when discovering damaged equipment or issues affecting office operations.
II. SECRETARY AND LEADERSHIP SCHEDULE MANAGEMENT
Arrange and update the work schedules of the President, Vice Presidents, and Head of Office.
Receive requests for meetings and work sessions; synthesize information and report to leadership for consideration.
Proactively contact and confirm the time, location, participants, and agenda of meetings.
Prepare programs, documents, invitation letters, delegate lists, and conditions to serve work sessions.
Remind schedules, track progress, and summarize results after each meeting or task.
Take minutes, list tasks to be implemented, and monitor until completion.
Keep confidential the schedules, documents, and work information of the Association's leadership.
III. ADMINISTRATION AND WORKING RELATIONS
Draft official dispatches, notices, reports, plans, minutes, invitation letters, and other documents of the Association.
Manage incoming documents, outgoing documents, files, and records as assigned.
Contact functional agencies to submit dossiers, schedule work sessions, supplement documents, and perform assigned tasks.
Directly visit state agencies, organizations, enterprises, or related units to work when requested.
Monitor the progress of dossier processing; update and fully report to the President and Head of Office.
Do not arbitrarily make statements, commitments, or represent the Association to handle work beyond the authorized scope.
IV. DIPLOMACY AND PRESS RELATIONS
Proactively contact, meet, and maintain working relationships with press agencies, journalists, and media units.
Prepare press releases, invitation letters, documents provided to the press, and content introducing the Association's activities.
Assist in organizing press conferences, conferences, seminars, events, and media programs.
Receive requests for information from the press, synthesize and report to competent authorities before responding.
Coordinate with functional agencies, members, and partners to implement the Association's tasks.
Comply with confidentiality principles, statements, and information provision as assigned by the Association's leadership.
V. FIELD TRIPS AND CONTENT PRODUCTION
Frequently visit garden farms, raw material regions, centers, and agarwood production facilities to gather information.
Meet and interview members, enterprises, artisans, experts, and workers in the industry.
Write news, articles, interviews, coverage pieces, and introductory articles under the direction of the President and Head of Office.
Develop outlines, scripts, interview questions, and filming plans.
Directly take photos, film, record audio, write voiceovers, and handle post-production.
Ability to independently produce complete introductory films, media videos, or short reports.
Produce content suitable for the website, Facebook, TikTok, YouTube, and the Association's platforms.
Produce a minimum of 10 new articles per month and edit, repost, or distribute a minimum of 30 news items and articles.
Execute videos, films, and short reports according to plans or practical requirements.
VI. WEBSITE ADMINISTRATION AND MEMBER SUPPORT
Administer, update, and develop content on the website and the Association's official platforms.
Proactively contact and exchange with at least 5 members every day.
Guide members in providing information, images, and building introductory articles for enterprises, products, and brands.
Support members in creating posts, introducing products, and connecting customers on the website.
Plan member introductions by week, month, and product group.
Monitor feedback, needs, and difficulties of members to synthesize and report to the Association's leadership.
VII. PRODUCT SCREENING AND INTRODUCTION SUPPORT
Receive product dossiers proposed by members for introduction on the website.
Check information on the supplying entity, origin, images, product labels, promotional content, and related documents.
Screen products according to criteria and procedures issued by the Association.
Do not post products with unclear information, excessive promotional content, or signs of legal violations.
In case of doubt about origin or quality, report to leadership and request members to supplement documents before posting.
Edit content, images, and videos introducing products on the website.
Help connect customers, receive requirements, and transfer information to members.
Monitor product status, customer feedback, and report arising issues.
Dossier screening does not mean product quality certification; matters requiring expertise must be transferred to competent departments or units.
VIII. INTERNAL ACCOUNTING AND REPORTING
Monitor revenues and expenditures; prepare receipt vouchers, payment vouchers, statement sheets, and internal financial reports.
Collect, check, arrange, and archive invoices and vouchers.
Monitor office, procurement, business trip, event, and Association activity costs.
Update revenue-expenditure reports and internal accounting reports onto the website or management system according to authorization.
Only publicize accounting reports on the website after they are checked and approved by competent persons.
Update progress, task results, and report work on the Association's system.
Prepare daily, weekly, and monthly work reports.
IX. CANDIDATE REQUIREMENTS
Graduated with a regular bachelor's degree in Journalism, ranked Good or higher.
At least 5 years of experience in administrative-office work.
Experience in journalistic writing and editing; having works published in newspapers or mainstream media platforms.
Knowing how to take photos, film, interview, write voiceovers, and edit films.
Ability to independently produce introductory films, media videos, and short reports.
Skills in internal accounting, document management, revenue-expenditure tracking, and report preparation.
Ability to administer websites and use social media platforms.
Proficient in Word, Excel, PowerPoint, Canva, CapCut, Adobe Premiere, or equivalent tools.
Certain knowledge about aquilaria trees, agarwood, raw material regions, production, crafting, trade activities, and agarwood culture.
Systematic thinking, understanding the structure, functions, and relationships between the Association's leadership, office, members, enterprises, management agencies, and the press.
Ability to arrange schedules, coordinate work, and communicate with diverse target groups.
Proactive, active, honest, careful, clean, and possessing a sense of responsibility.
Not hesitant to perform office cleaning work.
Ready for field trips, business travel, and working outside the office upon request.
Ability to work independently, handle pressure, and multitask.
